Tavsholm Akustik A/S Policy for expenses, company cards and receipts Version 3, in force from 1 January 2026. Owner: Søren Holt, head of finance. 1. Why Paying for something on the company's behalf should be easy, and bookkeeping should be able to book it without chasing anyone. These rules apply to every employee. 2. Receipts Every personal outlay and company card purchase needs a receipt. The receipt must show the date, the supplier, the amount including VAT and what the purchase was for. Receipts are handed in no later than 30 days after the purchase. At month-end, receipts for the previous month must be in by the 5th working day of the new month. 3. Meals A receipt for a meal must show the purpose and the names of the people who were there. For external guests, their company must be on it too. We cover at most DKK 450 per person including VAT and drinks. If you expect to go over, the head of finance must approve it in advance. Without prior approval we only reimburse up to the limit. 4. Company card The company card is for company purchases only. If you use it privately by mistake, you pay the amount back within 5 working days. 5. Approval Personal outlays and company card purchases above DKK 5,000 excluding VAT must be approved by your line manager before you buy. 6. Mileage Driving your own car is reimbursed at the state rate. The trip goes in the logbook with date, purpose and kilometres. 7. Lost receipt If you lose a receipt, you fill in a lost-receipt declaration. You can use the declaration at most 2 times a year.
